Employment Opportunity: Administrative Assistant  
Location: Halifax, NS 
Salary Range: $29.13 per hour 
Employment Term: Contract November – March 31, 2025 (possibility of annual renewal), Full time and Part time available (1.0 and 0.3) (Some evenings, weekends or Holidays if required) 
 
Reports To: Health Director and Clinical Lead 
 
General Description: 
 
The Wije’winen Health Centre is a new project of the MNFC, and we are looking for two (2)  Administrative Assistants, one full time and one part time. The Wije’winen Health Centre is a newly constructed facility located in central Halifax/Kjipuktuk. We offer healthcare services to the urban Indigenous community.   
 
The administrative assistant provides administrative support to our primary care physicians and nurses, which may at times require outreach. These services will be based on the principle of etuaptmumk (two-eyed seeing). 

 
Key Responsibilities: 
  • Support physicians and nursing staff in clinical, research, academic, and administrative responsibilities related to the Urban Indigenous Health & Wellness Centre  
  • Provide administrative support to ensure the efficient operation of the Urban Indigenous Health & Wellness Centre. Tasks may include but will not be limited to:  
  • Scheduling and confirming medical appointments, including appointments with visiting specialists  
  • Facilitating telehealth appointments   
  • Registering patients upon arrival to clinic and maintaining up to date contact information  
  • Receiving and communicating messages for medical staff and patients  
  • Managing and reconciling correspondence on an electronic medical record  
  • Interviewing patients to complete forms and documents for completion by clinicians  
  • Starting and maintaining confidential medical files and records  
  • Preparing draft agendas for meetings and taking, transcribing, and distributing minutes  
  • Creating and maintaining internal office administrative support procedures like document tracking and filing and monthly reporting  
  • Supervising and training other staff in procedures and in use of current software  
  • Ordering supplies and maintaining inventory  
  • Facilitating access to medical drives/other resources as indicated 
  • Other duties as required 
 
Qualifications:  
  • Education: Grade 12 plus graduation from a recognized one year secretarial or office administration course.  
  • Will be expected to complete PHIA training upon hiring   
  • Experience & Skills:  
  • Medical terminology course required   
  • Minimum of one-year secretarial experience an asset   
  • Recent medical secretarial experience in an academic or healthcare setting would be considered an asset   
  • Excellent computer skills that include a demonstrated proficiency in common office productivity software (i.e. Microsoft Office)   
  • Able to function independently and problem solve with minimal direct supervision   
  • Demonstrates flexibility, adaptability, and willingness to change  
  • Mi’kmaw language proficiency would be an asset but is not required
