Employment Opportunity – Office Operations & Support
Location: Windsor, NS
Salary Range: $25/hr at 35 hours per week. able to work flexible hours including some evenings and possibly some weekends.
Number of Candidates: 1
Employment Term: April 2026- March 31, 2027
Reports To: POSSE Director
Job Overview:
You will be reporting the POSSE Director to assist with office operations and administrative tasks. Must be able to maintain confidentiality, provide a safe, non-judgemental presence for marginalized groups, and uphold harm reduction and human rights values.
Duties include, but are not limited to:
- Office organization & tidiness
- Supply ordering (office, outreach, harm reduction)
- Inventory management
- Coordinating storage
- Phone/Email Triage & directing inquires
- Scheduling meetings, sending invites, booking rooms
- Preparing agendas, taking minutes, sending action items, tracking follow ups
- Primary data entry administrator
- Uploading of documents/forms, data filing and tagging
- Assisting with report and grant prep
- Supporting outreach and programing events through logistics, setup/clean-up
- Supports Admin Assistant in formatting documents and visuals
- Supports Admin Assistant in content calendar facilitation
- Supports Admin Assistant in communications tasks when needed
- All other duties as required
Workplace culture: Candidates must be able to work well with diverse and marginalized populations including: all youth, 2SLGBTQIA+, First Nations, African Nova Scotians, new immigrants, people experiencing homelessness or housing insecurity, substance users, sexually exploited youth, people living with mental illness, sex workers, etc. Candidates must be comfortable working with others and marginalized populations.
Qualifications:
- Diploma/graduate degree in related field (office administration diploma, business administration diploma, BBA, etc.) - or combination of work and education
- Minimum 3 years of administrative support or equivalent relevant experience
- Comprehensive knowledge of Microsoft office is mandatory, including Word, Excel, Outlook, and PowerPoint
- Technologically proficient
- This position requires someone who works collaboratively with others, is motivated, works well independently, and is adaptable to work a variety of tasks.
- A strong understanding of harm reduction policies and practices
- Able to maintain confidentiality
- Strong ability to work from a human right, gender-based analysis, harm reduction, and anti-oppression lens
- Ability to communicate effectively, High level interpersonal skills
- Multi-tasking skills
- Strong attention to detail
- Sensitivity to various barriers experienced by marginalized populations
- Able to use/access to a phone and computer
- Strong organizational skills
- Required Vulnerable Sector Check & Child Abuse Registrar required
Assets:
- Preference will be given to a qualified youth between the ages of 15-35
- First Aid, Mental Health First Aid, Mandt, and/or Healthy Relationships training
- Previous or current experience volunteering with POSSE is an asset
- Previous lived experience
